PTCO – Minutes
Date: Tuesday, October 7, 2025 at 6:30 PM MT Location: Smoky Hill High School, Room I-48
Call to Order –Tracy D. meeting was called to order at 6:31 PM MT

- Attendance –The attendance sheet was passed around for everyone to sign – see the attendance sheet.
- Officer’s Report:
Principal’s Report – Dr. Andre Bala
- 2025 Homecoming was big success. Thank you for everyone’s support.
- SHHS School Performance Framework came in 59.4/100 score in the green we are all within state standards. Drop-out rate has reduced and headed in right direction.
- PSAT testing starts 10/8/2025 (tomorrow) seniors will not have school and students needing to makeup capstone.
- Rezoning: Overland HS will be rezoned and increased of 45-60 students from area south of Overland HS. Some of students from Village East MS and along with Ponderosa Elementary and Polton Elementary will be transitioning to Prairie MS.
- Reading, Literacy, Math stats are UP results will be published after fall break. Bond budget is in Limbo for some of Gym upgrades asked by Melissa R.
President’s Report – Tracy D.
- Tracy D. announced Sherri K. resigned as co-President and looking for additional candidates
- Soliciting for parent members for co-executive positions such as President and Secretary
- Sy R. and Tracy D. will work on processes to drive membership involvement action item for Nov. 11 meeting to be discussed
- Once new candidates are proposed a new motion and vote will take place.
Communication’s Report – Robert C.
- Created Sign-up Genius report for parent emails and Tracy D. will be using these emails to recruit more parents involvement and possible executive board co-candidates
- Website has been updated with sign-up genius up to After Prom anyone wanting to volunteer and help in advance (links are up and available).
- Tracy mentioned Kim N. who talked to Mary S. about possibly helping within webmaster duties and/or executive position.
- Robert re-emphasized the need to receive student population report pull to start the new school year fresh by cross referencing what is in Mailchimp database.
Treasurer’s Report – Jen R.
- Teacher Stimulus email went out last week and so far 1 application asking for $1K. Applications are due back on Oct. 31
- Jen R. discussed the possibility of switching out Paypal to another payment processing for parents to donate. From Homecoming Dance were $295 donated.
- Money Minder is new accounting platform to be used instead of QuickBooks
- Question asked by Tracy D. on how much grant money can be supported. Jen stated so far from last year carry over $15K available in our current account.
Secretary’s Report – Absent
- Jen R. read last September’s meeting minutes and motion for August and September 2025 meeting minutes were approved. Motion made: Jen R., Seconded: Erin S.
Current Business:
- Mary B. discussed Homecoming Dance how it went very well, lots of food leftover. Nora shopped for fruits and there was a big variety of snacks. There were small issues with Amazon donation orders due to order timing and Melissa R. recommended creating QR codes for parents’ monetary donations.
- Fall Craft Fair proposed concessions food for the vendors list handed out. Ana S. will be contributing meat chilis and small amount of vegetarian chilis. Buff combo was proposed meal bundling idea by Melissa R. Erin S. will be reaching to Laurinda for input on concession orders/menu along with needing coffee for vendors. NHS, IB, StuGo student volunteers cut down standing around start at 7:30 am on Saturday in sign-up genius (for students) Erin will be duplicating last year’s sign-up genius for student volunteers action item. Tracy recommended to do Inventory of supplies available for Fall Craft Fair concessions.
- Sydney M. (student) talked to couple of StuGo students’ to attend PTCO meetings for student’s point of views and representation.
