Meeting Minutes

PTCO – Minutes 

Date: Tuesday, March 11, 2025

Location: Smoky Hill High School, Room I-48

Call to Order –Tracy Doyle; meeting was called to order at 6:30 PM MT



  •  Attendance –The attendance sheet was passed around for everyone to sign in – see the attendance sheet.


  • Officer’s Report: 

 

  1. President’s Report – Tracy Doyle
  • Thank you to all of the volunteers, clubs, teams, staff, vendors, and patrons who supported this year’s Spring Craft Fair.  Thank you to 
  •  A very special Thank you to Erin Smolenski, Sonya MacFarland and Stephenie Champney for all of their hard work and dedication for this event.    
  • Continued recruitment. 
  • Attended the March Parent’s Council Meeting.  The meeting reviewed procedural protocol for nominations and elections for Board positions and general review of By-Laws.
  • Appointment of members to the Nominating Committee for Board elections.
  • Attendance at the PTCO meetings for Larendo and Horizon.  Information regarding SHHS PTCO opportunities was sent to Challenge for submission to the school’s newsletter.

 

  1. Treasurer’s Report – Jen Ranum
  • The Spring Craft Fair’s projected income will be approximately $17,000.  The final net income number will be finalized and reported after all pending/outstanding receipts are turned in.
  • On Track the the 2024-2025 Budget.  
  • Discussions on possible future fundraising opportunities for the PTCO.

 

  1. Principal’s Report – Dr. Andre Bala
  • Thank you to all those who volunteered at the Spring Craft Fair and a special thank you to all the student volunteers.  There were many compliments regarding their hard work, as well as polite behavior that were received regarding their participation.
  • SHHS received the District Exceptional Achievement in Literacy Award.  
  • Student testing will begin after Spring Break.



  • The allocation process has begun regarding the distribution of funds from Bonds 4A and 4B.  SHHS will have upgrades to the building and it will start in phases.  Please note that these phases will be extensive and will take time.  Please be patient.
  • Security will continue to monitor and enforce the hallway protocol requirements.
  • A notification will be sent to all parents and students regarding the school’s policy for all students not allowed on the athletic fields without SHHS-approved adult supervision. 
  • OPEN POSITIONS – Please visit the Cherry Creek School District website for open positions within the district as well as some right at SHHS.
  • The 2025-2026 school budget has been submitted.  The projected enrollment for next year will remain within proximity of this year’s enrollment.



  1. Secretary’s Report – Tatum Foster, Minutes for February 2025 were reviewed and approved.



  • Current Business:
  • After Prom Plans are being finalized and the PTCO is looking forward to hosting a great night. Date: April 9, 2025
  • Senior Celebration plans are in progress.  Date: May 2, 2025
  • Teacher Appreciation Breakfast. Date: May 7, 2025
